Cold email outreach and deliverability platform

Smartlead review

Strong value for cold email at volume: unlimited mailboxes and warmup on every plan from $39 a month, but the real bill includes mailboxes and domains, refunds are narrow, and the legality of every email stays your job.

Prices and terms checked against Smartlead's own pages — sources.

Pick Smartlead if…

  • Agencies and sales teams that send cold email from many mailboxes and want one flat price instead of a fee per inbox
  • Founders who sell to businesses in markets where cold B2B email is allowed, such as the USA, and want follow-ups that stop when someone replies
  • Teams that want to run outreach from Claude through an MCP server or connect it to a CRM via API

Skip it if…

  • Anyone without a lawful reason to email the recipients — the tool sends what you load, and you stay responsible for it
  • Businesses that mainly email contacts in Germany or Spain, where cold B2B email generally needs prior consent
  • Buyers who want a simple refund — after the first 7 days, fees are generally non-refundable, add-ons never

Smartlead is a cold email platform from 521 Products Pty Ltd in Sydney, Australia. You connect your sending mailboxes, upload a list of prospects and write a sequence: a first email and timed follow-ups that stop when someone replies. Smartlead spreads the sending across all mailboxes, warms them up in a pool with other users’ mailboxes and brings the replies into one inbox. It is built for agencies and sales teams that send thousands of emails a month and need them to land in the inbox, not in spam.

How we checked Smartlead

Checked without an account on 2 November 2026: the pricing page and its machine-readable version, the terms of use (19 May 2026), the fair use policy, the data processing addendum (18 September 2026), the privacy policy (22 October 2026), help-center articles on refunds, cancelling, unsubscribing, campaign settings and warmup, the MCP setup guide and Trustpilot. We have not sent a campaign, so we cannot say anything about inbox placement. How to plan follow-ups with or without a tool is in our guide how to follow up on a cold email.

What Smartlead really costs

The plan price is only part of the bill. Cold email works best from separate domains and several mailboxes, so a small team usually pays for three things: the plan, the domains and the mailboxes. Example with Smartlead’s own mailbox service, monthly billing, 2 November 2026:

Item Price Per month
Base plan $39 a month $39.00
3 sending domains $13 per domain per year $3.25
6 Google mailboxes via SmartSenders (2 per domain) $4.50 per mailbox per month $27.00
Total $69.25

Base allows 6,000 emails a month. Six mailboxes sending 45 emails a day on 22 working days come to about 5,940 — a planning example based on a cautious volume per mailbox, not a Smartlead limit or a guarantee of good delivery. Pre-warmed mailboxes cost $9 per mailbox a month. If you need the API, a CRM sync or client workspaces, start at Pro for $94. Verified prospect emails from SmartProspect are a $59 add-on on Base and Pro and included from Unlimited Smart.

Prices exclude tax. Under the terms, Smartlead can raise fees with 30 days’ notice, at most once a year and not during your first subscription period.

Refunds and cancelling

Two documents say different things, so read both before you pay. The terms say that fees are non-refundable “to the extent permitted by law”. The help center is more generous: new customers get a full refund within 7 days of payment; after a renewal, a refund is possible within 3 days if you have not used the product and your reason meets Smartlead’s criteria — “not getting desired results” or a suspended email account do not count. Mailboxes, domains, placement tests, verification credits and the dialer are never refunded.

You can cancel Base and Pro in the dashboard under Settings, Subscription. The plan runs until the end of the billing period, and Smartlead mailboxes are cancelled with it. As with any subscription, keep the cancellation confirmation and check the last billing date.

What users report

Smartlead has 2.8 out of 5 from 140 reviews on Trustpilot (checked 2 November 2026), split almost evenly: 44% five-star and 50% one-star. The positive reviews praise the price and unlimited mailboxes. The negative ones are about slow or bot-like support, difficulty cancelling and charges after a cancellation; some reviewers also report bugs and problems with their domains’ reputation, which we could not verify. Trustpilot shows that Smartlead replied to 2% of negative reviews. We could not read G2 or Capterra for this check.

Smartlead and the law

Smartlead sends what you upload. Its terms make you responsible for every consent and permission, forbid unsolicited commercial email “as defined by the Spam Laws”, and allow Smartlead to suspend or end your account if it deems that you broke them — without a refund under the fair use policy. In practice that means:

  • USA: CAN-SPAM generally does not require prior consent for B2B email, but it requires a real sender, a postal address and a working opt-out. Turn on the unsubscribe message in every campaign.
  • Germany and Spain: cold B2B email generally needs prior consent. Each follow-up is another email that needs it; automating a sequence does not turn four emails into one.
  • France and the UK: some B2B email without prior consent is allowed under strict conditions — relevant to the person’s job, clear information, an easy opt-out — and the rules differ for sole traders.

The full table by country is in our guide on finding a work email from LinkedIn.

Two settings deserve attention. When you upload a new list, Smartlead lets you include leads who unsubscribed before — do not use that option, an opt-out must stay an opt-out. And “Optimize Email Delivery” sends plain text without HTML, which removes the unsubscribe link. If you use it, add an opt-out line and make sure every opt-out ends up on the block list.

Smartlead and the GDPR

Smartlead as your processor: the data processing addendum with the EU Standard Contractual Clauses and the UK addendum is part of the terms, and Prighter acts as EU and UK representative. Data is stored mainly at AWS in Sydney; Smartlead’s hosting providers sit in Australia, Singapore, India, Japan, the USA, Canada, Germany, Ireland and Sweden. Personal data is deleted within 90 days after deactivation.

Smartlead as its own controller: for warmup, your mailbox exchanges emails with other customers’ mailboxes, and Smartlead processes that data for itself. The privacy policy also says Smartlead collects data about prospects “which we sell to Clients as part of the SmartProspect service”.

Your duties: if you email EU contacts whose data you did not get from them, you need a lawful basis — usually a documented legitimate interest — and must tell them who you are, where the data came from and how to object (GDPR Article 14), with the first email at the latest. Before you upload EU contacts, ask Smartlead for the current sub-processor list. This is not legal advice.

Smartlead and AI assistants

Smartlead offers an MCP server for Claude Desktop that is included with any paid plan; Claude itself is separate. Smartlead says it gives Claude access to campaigns, sending accounts, lead lists and deliverability data through more than 116 tools, including creating campaigns, changing settings and adding leads. The API key behind it gives, in Smartlead’s words, “full API access” to your account, so treat it like a password and let Claude ask before it changes anything. Smartlead says it does not store your prompts; Claude’s own handling of your chats is governed by Anthropic. How MCP connections work in general is explained in our Google Ads MCP guide.

Smartlead vs. Instantly and other alternatives

Checked Smartlead Instantly lemlist Saleshandy
Entry plan, monthly $39 (Base) $47 (Growth) $69 (Email) $41 (Starter)
Entry plan, billed yearly $32.50 $37.60 $55 $34

Unlimited mailboxes and warmup Yes Yes Unlimited senders Yes

Based on each vendor’s pricing page on 2 November 2026; we have not tested the alternatives and have not scored them. For most small teams the choice between Smartlead and Instantly comes down to details: Smartlead has the lower entry price and offers client workspaces from Pro, which suits agencies; Instantly sells a lead database with credits alongside its outreach plans. Test each trial with a small list of your own — and do not email the same prospects from both tools.

Change log

  • 2 November 2026: First review. Pricing, terms of use, fair use policy, DPA, privacy policy, help center (refunds, cancelling, unsubscribing, campaign settings, warmup), MCP guide and Trustpilot checked.

What to check before customer data goes into any tool is in AI tools and the GDPR.

What works

  • Unlimited connected mailboxes and unlimited warmup on every plan, with automatic rotation across mailboxes in a campaign
  • Follow-ups stop when a lead replies; optional stop on click or open, and a company-level pause once one person at a firm answers
  • Public prices from $39 a month, 17% off yearly, and Base and Pro can be cancelled in the dashboard
  • Data processing addendum with EU Standard Contractual Clauses is part of the terms; EU and UK representative appointed
  • MCP server for Claude, API and webhooks from the Pro plan

What to watch

  • The real cost includes mailboxes and domains — bought through Smartlead's SmartSenders from $4.50 a mailbox a month and $13 a domain a year, or directly from Google or Microsoft
  • Fees are non-refundable under the terms; the help center allows a full refund only within 7 days of the first payment, and add-ons are never refunded
  • Unsubscribe text and one-click unsubscribe header are optional settings, and "Optimize Email Delivery" removes the unsubscribe link
  • Warmup sends emails between customers' mailboxes, with Smartlead as its own data controller; its privacy policy says it sells prospect data to customers through SmartProspect
  • Trustpilot score of 2.8 out of 5 from 140 reviews, split between 5-star and 1-star; complaints are about support, cancellation and billing

How Smartlead scores

3.8 / 5

  • Value for money Weight 25% 4.0 / 5 Public prices from $39 a month with unlimited mailboxes, but API and CRM start at $94, and mailboxes and domains cost extra.
  • Features for small businesses Weight 25% 4.5 / 5 Sequences, rotation, warmup, inbox placement tests, unified inbox, AI reply sorting, MCP and API — the full cold email stack in one tool.
  • Data protection (EU) Weight 20% 3.0 / 5 DPA with EU Standard Contractual Clauses and an EU representative, but data sits mainly in Australia, warmup and prospect data are its own.
  • Try before you pay Weight 15% 4.5 / 5 14-day free trial without a card, then a 7-day full refund window on the first payment.
  • Fair terms Weight 15% 2.5 / 5 Monthly and cancellable, but fees are otherwise non-refundable, add-ons never, and Smartlead may suspend accounts it suspects of breaking spam law.

The score weighs documented facts — prices, plan limits, terms and the vendor's data-processing documents as of 2 Nov 2026. It is not a lab test. How the score works.

Questions

Smartlead: common questions

How much does Smartlead cost?

Smartlead has four plans — Base at $39 a month, Pro at $94, Unlimited Smart at $174 and Unlimited Prime at $379. Billed yearly, they cost about 17% less, from $32.50 a month. Every plan includes unlimited mailboxes and warmup, but you still pay for the mailboxes and domains themselves, either at Google or Microsoft or through Smartlead from $4.50 a mailbox a month.

Does Smartlead have a free trial?

Yes. Smartlead offers a 14-day free trial without a credit card. If you then pay, the help center promises a full refund within 7 days of the first payment. Add-ons such as mailboxes, verification credits and placement tests are never refunded.

Is Smartlead better than Instantly?

They are close. Both include unlimited mailboxes and warmup. Smartlead's Base plan is cheaper ($39 against $47 a month) and allows 6,000 emails and 2,000 contacts against Instantly's 5,000 and 1,000; at Smartlead, the API starts on Pro. Agencies often pick Smartlead for client workspaces and white label, which start on Pro. Test both with the same mailboxes before you pay.

Is Smartlead worth it?

It can be good value for agencies and sales teams that send cold email from many mailboxes to recipients where it is legal, because mailboxes are not charged per seat. Use the 14-day trial to test support, cancellation and the stop rules before you pay for a year. For a few hundred emails a month to contacts in Germany or Spain it is the wrong tool — you need consent there, and a CRM or your normal mailbox does the job.

Is Smartlead GDPR compliant?

Smartlead includes a data processing addendum with EU Standard Contractual Clauses in its terms and has an EU and UK representative. Data is stored mainly at AWS in Sydney and processed in several countries. Whether you may email a contact at all is your responsibility and depends on the recipient's country. This is not legal advice.

How do I cancel Smartlead?

On Base or Pro, go to Settings, then Subscription, and click Cancel; the plan stays active until the end of the billing period. Custom plans are cancelled through support. Smartlead mailboxes bought through SmartSenders are cancelled with the plan.
